'The Art Doctor UK' - Booking Terms & Conditions
By making a booking through ClassForKids, you confirm that you have read, understood and agree to these Terms & Conditions.
Bookings & Payment
All bookings are subject to availability and are only confirmed once payment has been successfully received through the ClassForKids booking system.
The person making the booking confirms that they have the authority to accept these Terms & Conditions on behalf of all participants included within the booking.
Cancellation & Refund Policy
Should you need to cancel your booking, please notify 'The Art Doctor UK' as soon as possible by email or telephone.
- Cancellations made more than 48 hours before the scheduled class, club, workshop, holiday camp, special event or other booked activity will be eligible for a refund, less a £5 processing and administration fee per booking. This fee covers non-refundable payment processing charges and administrative costs incurred through the ClassForKids booking platform.
- Cancellations made within 48 hours of the scheduled activity are not eligible for a refund, as staffing, venue hire, catering (where applicable), equipment and art materials will already have been purchased or allocated specifically for the event.
- Refunds will only be processed back to the original payment method used through ClassForKids.
Non-Attendance
No refunds, credits or transfers will be offered for participants who fail to attend a booked session without prior notice, arrive late, leave early, or are unable to attend due to personal circumstances, including illness (except where required by applicable law).
Transfers
Where sufficient notice is given (more than 48 hours before the event), we will endeavour to transfer your booking to an alternative date where spaces are available. Transfers cannot be guaranteed and remain entirely at the discretion of 'The Art Doctor UK'.
Bookings cancelled within 48 hours of the event are not eligible for transfer.
Minimum Booking Requirement
To ensure that our workshops and special events are financially viable and provide the best possible experience for all participants, a minimum of six (6) bookings is required for any workshop, holiday camp, special event or similar activity to proceed.
Should this minimum number not be reached, 'The Art Doctor UK' reserves the right to cancel the event. In this circumstance, customers will be offered either a full refund or the opportunity to transfer their booking to an alternative date, where available.
Cancellation by 'The Art Doctor UK'
The Art Doctor UK reserves the right to cancel, postpone or reschedule any class, club, workshop or event due to insufficient bookings, staff illness, venue issues, severe weather or circumstances beyond our reasonable control.
Where this occurs, customers will be offered either:
- a suitable alternative date (subject to availability); or
- a full refund of the amount paid.
No additional compensation shall be payable for travel expenses, accommodation costs, loss of earnings or any other consequential expenses incurred.
Illness & Medical Information
Parents and guardians are responsible for providing accurate emergency contact details and informing 'The Art Doctor UK' of any relevant medical conditions, allergies, dietary requirements, disabilities or additional needs at the time of booking.
Where lunch or refreshments are provided by a third-party venue or supplier, every reasonable effort will be made to accommodate notified dietary requirements. However, 'The Art Doctor UK' cannot guarantee an allergen-free environment and accepts no responsibility for ingredients supplied by third parties.
Participants who are suffering from an infectious illness or who may present a risk to the health and safety of others should not attend. No refund will be offered where attendance is prevented due to illness.
Behaviour
'The Art Doctor UK' is committed to providing a safe, enjoyable and respectful environment for all children.
We reserve the right to refuse entry or remove any participant whose behaviour is considered unsafe, disruptive, abusive or likely to negatively affect the experience of others. Should this become necessary, parents or guardians will be contacted and asked to collect their child immediately.
No refund or credit will be issued where removal is necessary due to unacceptable behaviour.
Arrival & Collection
Parents and guardians are responsible for ensuring children arrive and are collected promptly at the advertised start and finish times.
A late collection charge of £10 per child, per 15-minute period (or part thereof) will be applied where a child is collected 15 minutes or more after the advertised finish time. This charge is necessary to cover additional staffing costs incurred outside of normal operating hours.
In the event that a child is not collected and neither the parent/guardian nor the emergency contacts can be reached within a reasonable period, 'The Art Doctor UK' reserves the right to contact the appropriate authorities where deemed necessary to safeguard the child.
Clothing & Artwork
Whilst we take every reasonable precaution to protect clothing, art can be wonderfully messy. Children should wear clothing suitable for creative activities, as some paints, inks and other art materials may permanently stain fabrics despite the use of protective artist jackets provided by 'The Art Doctor UK'.
Every effort will be made to ensure completed artwork is taken home at the end of each session. However, The Art Doctor UK cannot guarantee the storage of artwork left behind after an event.
Personal Property
Participants are responsible for their own belongings. 'The Art Doctor UK' cannot accept responsibility for any personal items that are lost, stolen or damaged whilst attending any of our activities.
Photography & Social Media
Photographs and videos may occasionally be taken during sessions for promotional and marketing purposes. Images will only be used where the appropriate permissions have been granted during the booking process.
Parents and guardians may withdraw consent for future use of images by contacting 'The Art Doctor UK' in writing.
To protect the privacy of all attendees, parents and visitors are kindly requested not to photograph or film other children during sessions or events without the express permission of both 'The Art Doctor UK' and the parent or guardian of the child concerned.
Discount Codes & Promotional Offers
Discount codes, promotional offers and special pricing must be applied at the time of booking and cannot be applied retrospectively once payment has been completed.
Offers may not be used in conjunction with any other promotion unless expressly stated.
Changes to Activities
'The Art Doctor UK' reserves the right to make reasonable changes to advertised activities, art projects, tutors, venues, schedules or session content where necessary to ensure the safe and effective delivery of our services.
Liability
Whilst every reasonable care is taken to ensure the safety and wellbeing of all participants, attendance at any activity organised by 'The Art Doctor UK' is at the participant's own risk.
'The Art Doctor UK' shall not be liable for any loss, damage or injury except where caused directly by our proven negligence or where liability cannot legally be excluded under applicable UK law.
Force Majeure
'The Art Doctor UK' shall not be liable for any delay, cancellation or failure to perform its obligations where such failure results from events beyond our reasonable control, including but not limited to severe weather, flooding, fire, pandemics, government restrictions, industrial action, venue closure, utility failure, transport disruption or any other unforeseen circumstance.
Acceptance of Terms
Completion of a booking through the ClassForKids booking system constitutes acceptance of these Terms & Conditions in full.
